Privacy Policy
Effective date: May 26, 2026 | Last updated: May 26, 2026
This Privacy Policy explains how Kognitic ("Kognitic," "we," "us," or "our") collects, uses, shares, and protects information in connection with the Kognitic.com website and related marketing pages (collectively, the "Website").
Scope. This Policy governs the Website only. It does not govern data that Kognitic processes on behalf of its customers under a separate customer agreement, master services agreement (MSA), or data processing agreement (DPA). Where Kognitic processes data as a service provider or processor for a customer, that processing is governed by the applicable customer contract and the customer's own privacy notices, not by this Policy.
We may update this Policy from time to time to reflect changes to our practices or for operational, legal, or regulatory reasons. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.

A. Information We Collect and How We Use It.
Information collected automatically
When you visit the Website, we and our analytics and advertising providers automatically collect certain technical information about your device and your interaction with the Website. This may include:
• Internet domain and IP address from which you access the Website;
• Browser type, device type, and operating system;
• Date, time, and duration of your visit;
• Pages and content you view and links you click;
• The referring website or source that directed you to us; and
• Approximate location derived from your IP address.
We use this information to operate and secure the Website, understand how visitors use it, measure the performance of our content and campaigns, and improve our products and marketing. Some of this information may be associated with you as an individual through cookies, pixels, and similar technologies (see Section B) or when matched with information you provide.
Information you provide to us
If you contact us, request a demo, register for an account or service, subscribe to communications, participate in a survey or event, or complete a form, we collect the information you provide. This typically includes your name, business email address, company, job title, and the content of your message or request.
We use this information to respond to you, evaluate and provide our products and services, manage our relationship with you and your employer, send you communications you have requested, and conduct marketing consistent with applicable law and your choices.
Marketing and customer-relationship data
We use a customer relationship management (CRM) system and marketing automation tools. Information you submit through Website forms may be stored in our CRM and combined with information from analytics and advertising providers to help us understand prospective and existing customers, tailor our communications, and measure campaign effectiveness. You can opt out of marketing communications at any time using the unsubscribe link in our emails or by contacting us at the address in Section K.
B. Cookies and Similar Technologies
We use cookies, pixels, tags, and similar technologies (collectively, "cookies") to operate the Website, remember your preferences, analyze traffic, and support advertising. Cookies are small files placed on your device; some are set by us and others by third-party providers.
We use the following categories of cookies:
- Strictly necessary cookies: required for the Website to function and to remember preferences such as language and region.
- Analytics cookies: help us understand how visitors use the Website, for example through Google Analytics and HubSpot.
- Marketing and advertising cookies: set by us or our advertising partners to deliver and measure advertising, including retargeting, for example through the LinkedIn Insight Tag, Google Ads, and the Meta Pixel.
Where required by law, we set non-essential cookies only after you have given consent through our cookie banner, and you may change or withdraw your choices at any time via the cookie settings on the Website. You can also control cookies through your browser settings, though disabling some cookies may affect Website functionality.
Do Not Track. We do not currently respond to browser "Do Not Track" signals, except where required by applicable law.
C. How We Share Information
We do not sell your personal information for money. We share information only as described below:
- Service providers and processors: Vendors who perform services on our behalf, such as cloud hosting, analytics, CRM and marketing automation, advertising, and communications providers. These providers are permitted to use the information only to provide services to us.
- Business partners: Certain partners whose work product is integral to the products and services Kognitic provides, where necessary to deliver those products and services.
- Corporate affiliates: Natsoft and other affiliated entities, consistent with this Policy.
- Legal and safety: Where we believe disclosure is required by applicable law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Kognitic, our users, or others.
- Business transfers: In connection with a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
A current list of the categories of third-party providers we use is available on request by contacting us at info@kognitic.com.
Artificial intelligence and machine learning. Kognitic may use artificial intelligence and machine learning technologies to support product functionality and analytics. Unless expressly agreed in writing, customer confidential information and customer-provided data are not used to train generalized public AI models.
D. International Data Transfers
Kognitic operates in the United States, and your information may be transferred to, stored in, and processed in the United States, Canada, and other countries that may not provide the same level of data protection as your home country.
Where we transfer personal data of individuals in the European Economic Area (EEA), the United Kingdom, or Switzerland to countries that have not received an adequacy decision, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses (and the UK International Data Transfer Addendum where applicable). You may request a copy of the relevant safeguards by contacting us at the address in Section K.
E. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including to provide our products and services, comply with our legal and contractual obligations, resolve disputes, and enforce our agreements. Retention periods vary by data type — for example, [account records are retained for the duration of the relationship plus 2 years; marketing contact records until you unsubscribe or after 12 months of inactivity; website analytics logs for 12 months]. When information is no longer needed, we delete or anonymize it.
F. Legal Bases for Processing (EEA/UK)
If you are in the EEA or the UK, we process your personal data on one or more of the following legal bases:
- Contract: To provide products and services to you or your employer and to manage our relationship.
- Legitimate interests: To operate, secure, and improve the Website and our products, and to conduct business-to-business marketing, balanced against your rights.
- Consent: For non-essential cookies and certain marketing communications, where required. You may withdraw consent at any time.
